N-DEx Adapter

With the N-DEx Adapter, participating local, state, tribal, and federal law enforcement agencies can contribute data to the FBI's Nationa Data Exchange (N-DEx) system.

Master Name, Address, and Vehicle Files

Allow for easy searching and linking of records. The master file for each record includes all known data, as well as a complete involvement list displaying every record in the system it’s been involved in.

Case Reports

Case Reports neatly organize all data and forms related to a case. It’s easy to build a case report on information pulled from CAD, which can be viewed side-by-side with case data.

Forms

Summons/citations, search warrants, field identifications, arrest forms, and call referral criteria forms are tightly integrated with case reports, eliminating duplicate data entry.

Unlimited Case Report Types

Any number of case report types can be created (investigations, juvenile, narcotics, etc.). Access to each report type is permission-based.

Case Report Linking

Case report linking allows easy navigation between related cases.

Case Management System

Case management system can be set up to streamline case review and approval workflow. The system generates for each user a task list of cases needing their attention.

Case Notifications

Automatic case notifications further enhance the case management process. Supervisors can be notified as cases age, investigations divisions can be notified when cases score above the call referral threshold, and much more.

Audit Trail

A time-stamped audit trail records who added each part of a case report, as well as the case’s approval status history.

Case Printing Presets

Presents can be configured so that any user can easily generate different versions of the case report—media summaries, supervisor review printouts, state’s attorney reports, and more.

Property/Evidence Records

Records and chain of custody are integrated with case reports.

Digital Evidence

Evidence such as images and audio and video files can be linked to case reports, eliminating the need to keep these materials on a separate fileshare. Audio and video files can be bookmarked to flag key segments.

Property Management Structure

Allows only valid actions, resulting in a legitimate chain-of-custody log complete with transfer receipts.

Lost/Found Property and Pawn

These logs are tracked in an integrated manner.

NIBRS / UCR

NIBRS/UCR compliance provides for streamlined state reporting.

Warrants

Warrant module manages warrant service and generates system-wide alerts on names with active warrants.

Sex Offender Log

Track offender data and checkins and generate system-wide alerts on offenders’ names.

Integration with Financial

Bicycle registration, pistol permit, and parking ticket logs integrate with Financial, enabling sliding fee structures and payment tracking.

Integrates with Mobile

Provides case reporting and other records management features in-vehicle.

Records Management (RMS)

Feature Highlights Records Features

Zuercher Records is a records management system that consolidates and automates records processing for public safety agencies. It organizes everything from case reports to warrants to sex offender data in an easy-to-use fashion.

Records provides a smooth, efficient process for case report creation. Information such as incident address, call type, and complainant data is pulled from CAD, eliminating the need for duplicate data entry. This information, along with call details and unit response times, is displayed alongside the case record while officers write reports—there’s no need for printed cover sheets or calling dispatch to confirm details. With Records, users can stay organized by attaching case narratives, citations, search warrants, field identifications, call referral forms, evidence, and scanned documents directly to case reports.

Records’ case workflow system is highly configurable. It allows for unlimited case report types (patrol, investigations, juvenile, narcotics, etc.), and access to each report type is controlled based on permissions. Records can be set up to fit whatever system an agency already has in place for case review and approval, and supervisors can easily approve or kick back case parts, with comments as necessary. The workflow system is based on automatically generated tasks, so that each officer has a centralized list of case reports to complete, add to, fix, or review.

Records’ automatic notification feature can be used to greatly enhance an agency’s case management process. Does the records clerk need to be notified via email when a case is approved so that he can begin the records review process? Records can do that. Should the senior staff be instantly alerted via text message whenever high-profile incidents such as fatal accidents occur? Records can do that, too.

In addition to case management, Records enables comprehensive property and evidence tracking, including a detailed chain of custody log. Records also logs warrants, sex offender data, pistol permit information, bicycle registrations, pawn property tickets, and more, managing all of an agency’s records in one centralized, easy-to-search system.

Records is N-DEx compliant.  Find out more about N-DEx.
